This notice sets out how the Government Finance Function ("OneFinance", "GFF" or "We") will use your personal data, and your rights. It is made under Article 13 of the General Data Protection Regulation (GDPR).
We will process the following personal data
Account information
- you needed to create an account to use OneFinance, we collected
- your first and last name
- email address
- organisation
- grade
- department
- location
- security questions
- photo (optional, unless writing a blog)
- skills/further information (optional)
- we may use this information to verify your account, respond to your queries and send you information
- we collect and process this data because it is necessary in order to fulfil our contract with you, and we use it to run your account, provide services and customer support, and to contact you about your account
Profile information
- you may also choose to provide further information to display on your profile, such as a profile picture or further contact information
- by providing this information, you are agreeing to have it displayed on your OneFinance profile
- if you no longer wish to have this on display, you may remove it by editing your profile
Usage information
- we collect usage information about you whenever you use OneFinance
- this includes which pages you visit, searches you make and when you log in, and the IP address from the device you use to access the site
- this usage data may be used to track behaviour at the aggregate level to identify and understand trends in the way users interact with OneFinance to improve the platform and services we provide
- IP addresses may be used to identify unknown/unauthorised access in your account and process this information for legitimate interests, namely improving our services to you
- we will add you to our regular mailing list Finance Matters and our special events mailing list, we may also occasionally send you targeted emails around your grade, role and/or location
Information we share
- the personal information you provide at registration is shared with other OneFinance users when they view your profile except for your password and security questions. You can edit this at any time by clicking ‘Edit Profile’
- we do not share your information or data with third parties outside OneFinance except in the following circumstances:
- to help us provide certain services
- we use our trusted partners to manage our customer support services
Retention
- personal information given at registration will be processed by us for as long as your account with us remains active
- if your information is no longer needed by us, we will either remove it from our systems or anonymise it so that you cannot be identified within five days of your account being deleted
You have the right
- to request information about how your personal data are processed and to request a copy of your personal data
- to request that any inaccuracies in your personal data are rectified without delay
- to request that any incomplete personal data are completed, including by means of a supplementary statement
- to request that your personal data are erased if there is no longer a justification for them to be processed
- in certain circumstances (for example, where accuracy is contested) to request that the processing of your personal data is restricted.
- to object to the processing of your personal data where it is processed for direct marketing purposes
- to request a copy of any personal data you have provided, and for this to be provided in a structured, commonly used and readable format
- to withdraw consent to the processing of your personal data at any time
- to unsubscribe from any mailing list
